This Privacy Policy explains how we collect, use, disclose, store, and protect your personal information when you visit, use, or make a purchase or other transaction using the Services, or otherwise communicate with us. If there is a conflict between our Terms of Service and this Privacy Policy, this Privacy Policy controls in relation to personal information.

This Privacy Policy is intended to satisfy our transparency obligations under applicable data protection law, including the UK GDPR and the Data Protection Act 2018, and (where relevant) Article 13/14 of the EU General Data Protection Regulation (Regulation (EU) 2016/679). This Privacy Policy relates solely to this website and Services unless stated otherwise.

1. What is “personal information”?

When we use the term “personal information” (or “personal data”), we mean information that identifies you or can reasonably be linked to you. It does not include information that has been anonymised or de-identified so it can no longer be linked to you.

2. What information do we collect about you?

We may collect personal information directly from you, automatically when you use the Services, and from third parties (such as service providers) depending on how you interact with us.

  • Payment providers: confirmation of payment status and limited transaction details (we do not store full card details).
  • Delivery and fulfilment providers: delivery status updates and address validation information.
  • Fraud prevention and security services: signals used to help detect and prevent suspicious activity.

Some information may be mandatory to provide Services (for example, a shipping address for delivery). Where information is not mandatory, you can choose not to provide it, but this may limit functionality or prevent us from fulfilling orders. If you are unsure which information is mandatory, please contact us.

3. Why do we collect and use personal information?

We collect and use personal information for the following purposes:

  • To provide the Services and perform our contract with you: process orders, take payment, deliver products, administer returns and refunds, manage subscriptions and accounts.
  • To communicate with you: order confirmations, service messages, customer support, handling complaints, and responding to enquiries.
  • To personalise your experience: remember preferences, and improve repeat visits.
  • To improve our business and services: analytics, troubleshooting, quality improvement, understanding customer needs and demand.
  • To request feedback and reviews: to understand customer satisfaction and improve products and Services.
  • Marketing and promotional communications (where permitted): send newsletters and offers you have opted into, and measure campaign performance.
  • Security and fraud prevention: protect customers, prevent fraud, protect our systems and assets, and maintain platform integrity.
  • Legal and compliance: meet legal obligations, respond to lawful requests, and enforce our terms and policies.
  • Business administration: record keeping, accounting, audit, and internal reporting.

4. Our legal bases for processing

Under UK GDPR, we must have a lawful basis to process personal information. Depending on the context, we rely on:

4.1 Consent

Where you have joined our mailing list or opted into marketing communications, we rely on your consent (where required). You can withdraw consent at any time (see Section 9).

4.2 Contractual necessity

Where you place an order or use Services that require processing, we process personal information to perform our contract with you (for example, to take payment, deliver products, and provide customer support).

4.3 Legitimate interests

We may process personal information for our legitimate business interests, provided those interests are not overridden by your rights. Legitimate interests may include:

  • Direct marketing (where permitted) and measuring marketing performance
  • Fraud prevention and security monitoring
  • Improving and maintaining the Services and customer experience
  • Understanding the scale and range of our customer base
  • Recognising when customers re-engage with our Services
  • Investigating and defending legal claims, and protecting company assets

You have the right to object to processing based on legitimate interests in certain circumstances (see Section 9).

4.4 Legal obligation

We may process personal information to comply with legal obligations (for example, tax and accounting requirements).

5. If we don’t have it, we can’t work with it

Providing personal information to us is not usually a statutory requirement, but it may be required for us to provide Services. If you choose not to provide information needed to fulfil an order, we may not be able to process your order or provide certain Services.

6. Who do we share your information with?

We may disclose personal information to third parties where necessary for the purposes described in this Privacy Policy. We do not sell your personal information.

6.1 Service providers

We may share information with service providers who help us operate the Services and perform functions on our behalf, such as:

  • Analytics providers (to understand website usage and improve Services)
  • Security and fraud prevention services (to protect the Services and customers)
  • IT and cloud storage providers (to store and protect business records)

We only share the information needed for the service provider to perform their role and require them to protect it and use it only for that purpose. Pulsin Ltd will not share your information for marketing purposes with companies outside of Pulsin Ltd where those companies intend to use it for their own purposes.

6.2 Legal and business disclosures

We may disclose personal information:

  • to comply with applicable law or respond to valid legal process (for example, court orders, subpoenas, lawful requests from regulators or law enforcement)
  • to enforce our Terms of Service or other policies
  • to protect the rights, property, or safety of Pulsin, our customers, or others
  • in connection with a business transaction such as a merger, sale, restructuring, or insolvency (where permitted by law)

7. Relationship with Shopify

The Services are hosted by Shopify. Shopify collects and processes personal information about your access to and use of the Services in order to provide and improve the Services for you. Information you submit to the Services will be transmitted to and shared with Shopify and certain third parties (including those located in other countries) to provide and improve the Services.

Shopify may also provide “enhanced features” that use data about your interactions with our store, Shopify, and other merchants. In these circumstances, Shopify may act as an independent controller for certain processing activities and is responsible for handling certain rights requests related to that processing. Shopify provides a consumer privacy policy and a privacy portal for rights requests.

8. Cookies and similar technologies

We use cookies and similar technologies to operate the Services, analyse performance, and improve your experience. Some cookies are necessary for the website to function and others are used for analytics and marketing (where enabled).

The cookies used on our previous WooCommerce site included (for example) Google Analytics cookies and Sourcebuster cookies. On Shopify, the specific cookies used may change depending on Shopify features and third-party apps we enable. You can control cookies through your browser settings. If you block some cookies, parts of the Services may not function correctly. Where required by law, we will request consent for non-essential cookies through a cookie banner or similar mechanism.

9. Your rights and choices

Depending on where you live, you may have rights in relation to your personal information. These rights are not absolute and may be subject to exceptions.

We take reasonable administrative, technical, and organisational measures to protect personal information. However, no method of transmission or storage is completely secure and we cannot guarantee absolute security. Please avoid sending sensitive information via unsecure channels.

12. How long we keep your information (retention)

We retain personal information for as long as necessary to provide the Services, maintain your account (if applicable), comply with legal obligations (including tax and accounting), resolve disputes, and enforce agreements. Retention periods vary depending on the type of information and why we need it.

If you are in the UK, you also have the right to lodge a complaint with the Information Commissioner’s Office (ICO). If you are in the EEA, you may lodge a complaint with your local data protection authority.

15. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our practices or for operational, legal, or regulatory reasons. We will post the updated Privacy Policy on this website and update the “Last updated” date. Where required by law, we will provide additional notice.
